Invite your team
Use Organization to invite the people who will work in Basilias with you. You can choose a role that matches each person’s responsibilities now, and an organization administrator can update it later if those responsibilities change.
Send an invitation
- Open Organization.
- Select Invite user.
- Enter the person’s first name, last name, and email address.
- Choose a role: Viewer, Scheduler, Clinician, or Admin.
- Select Invite.
The invited person can finish joining from their email invitation. Once they are active, you can set their service qualifications so they appear in the right booking and scheduling workflows.
Choose a role
Choose the role that fits the work the person needs to do today. Every role is limited to its own organization.
| Role | Best for | In brief |
|---|---|---|
| Viewer | Leaders, observers, and people who only need visibility | Can review schedules, assignments, and bookings, then export or subscribe to calendar views. Cannot make changes. |
| Scheduler | Staffing coordinators and operational schedulers | Can build and maintain schedule drafts, edit assignments, and manage bookings. Does not receive access to clinical records or organization settings. |
| Clinician | Care-delivery team members | Can work with patient records and consultations, manage bookings, view schedules, and request or make their own assignment swaps. Cannot manage the organization or publish schedules. |
| Admin | Organization owners and designated administrators | Has the full organization, clinical, booking, scheduling, and reporting toolset—including invitations, role changes, publishing, and audit access. |
Detailed permissions
The table below reflects the current permission model for the four roles available in the invitation form. A check mark means the role has that permission; Own means the action is limited to the person’s own schedule or swaps.

Important scheduling boundaries
- Schedulers can create and maintain drafts, assignments, and bookings, but they cannot open patient or consultation records, manage organization settings, or publish a schedule.
- Clinicians have clinical-record access and can make their own assignment swaps, but they do not edit the shared assignment calendar or create schedule drafts.
- Viewers are read-only. They can export or subscribe to schedule views, but cannot change a booking, assignment, or draft.
- Admins are the only one of these four roles who can invite people, change roles, manage services and availability, publish schedules, and access analytics or audit activity.
Permission changes are applied to a user’s active session. Ask the person to sign out and back in if their updated role does not appear right away.
Next: set qualifications.
