Review, Publish, and Share a Schedule

Drafts make it possible to check a schedule before it reaches the team. Publishing is the point at which that reviewed version becomes the operational schedule.

Compare drafts

  1. Open Schedule Versions.
  2. Select the drafts you want to compare.
  3. Review differences in assignments and schedule metrics.
  4. Choose the version that best satisfies coverage and workload needs.

The draft list can be filtered by strategy and status, including Published, Draft, Superseded, Archived, Completed, Failed, and Generating.

Submit and approve

From the calendar or draft workflow, submit the selected draft for approval. Reviewers can assess the proposed assignment changes before publication. Make changes in the draft if feedback reveals a coverage gap, policy conflict, or avoidable workload issue.

Publish the reviewed version

After approval, publish the draft from the schedule workflow. Published schedules are immutable. If a published period needs adjustment, create a modification draft based on the published schedule, review it, and publish the new version. This retains the previous version instead of rewriting it.

Export a snapshot

Users with export permission can export schedule information from the calendar. Use an export when a team needs a fixed copy for a meeting, archive, or operational handoff. Filter to the intended services and clinicians first so the export contains only the necessary coverage.

Subscribe to a calendar feed

The calendar’s Subscribe to Calendar option creates a secure subscription URL. Depending on the user’s access, the feed can be scoped to their own schedule, a service, or the organization.

  1. Select Subscribe to Calendar in Rounds.
  2. Select the available scope and, where offered, the services or clinicians to include.
  3. Create the link and copy either the HTTPS or webcal URL.
  4. Add it to Google Calendar, Apple Calendar, or Outlook.

Treat the URL as a credential: it is for the intended recipient’s personal use and should not be forwarded. Regenerate or delete a link if its access should end.
