Manage bookings and the patient portal
Staff manage appointment progress from the scheduling calendar. Clients can view their own appointments from the patient portal, where they can cancel an upcoming appointment and return to the practice’s booking page to book again.
Create a booking for a client
Use the calendar when staff need to schedule an appointment directly.
- Open Calendar.
- Select New booking.
- Choose a bookable service and a future date.
- Select an available time.
- Search for an existing patient or add a new patient’s name and optional contact details.
- Add optional client instructions or an internal note.
- Select Create booking.
The calendar only offers slots that fit the service and current availability.
Update an appointment’s status
Select a booking in the calendar to open its detail panel. The available actions depend on the booking’s current status. For example, a booked appointment can be checked in, a checked-in appointment can be started, and an in-progress appointment can be marked fulfilled. Staff can also cancel eligible bookings or mark applicable appointments as no-shows.
What clients can manage
After signing in to the patient portal, a client sees upcoming and past appointments. Each appointment can show its service, time, provider, practice contact information, and any pre-appointment instructions.
An upcoming, non-terminal appointment has a Cancel appointment action. Rescheduling is currently handled by cancelling and booking again through the practice’s booking page.
Review notifications
The Notifications page collects schedule changes and approval-related updates. Select a notification to mark it read and open its linked action when one is available. Use Mark all as read to clear the unread list once the team has reviewed it.
Tip: Treat a cancellation as a schedule change, then check the calendar for the newly opened time before offering it to another client.
